Video Conferencing Etiquette
- Focus camera on the sign with the site name when the room is empty.
- During sessions, turn off cell phones, if possible, or set to vibrate.
- Position the camera on participants so that everyone can be seen clearly (zoom in picture as close as possible – for single participants use a head and shoulder view).
- All participants should introduce themselves and their location.
- Seat the participants at least 5 feet away from the TV screen.
- Position the microphone in front of the participants and with the microphone cable facing back toward the TV.
- To avoid audio feedback and background sounds, ask far sites to mute their microphones during the education session unless they are speaking.
- If side conversations are required, mute the microphone by pressing the MIC OFF button on the remote control.
- Avoid making unnecessary noises such as tapping your pencil, shuffling papers or sliding the microphone across the table. These sounds are amplified greatly at the far site.
- Establish “eye contact” with the main camera if you are addressing the far site.
- Speak clearly and project your voice for good audio transmission.
- When asking questions, address the remote site specifically so they will know you are speaking to them.
- There will be an audio delay of 1/2 to two seconds, so remember to wait for a response after addressing the remote site.
- Wear solid colors. Avoid red, hounds tooth, checks, stripes and “all white”.
